Refund & Cancellation Policy
1. Overview

At Ben On Sax, we take great pride in delivering high-quality, professional performances for weddings, private events, and lessons. We understand that plans can change, and we aim to handle all cancellations and refunds with fairness and transparency. This policy forms part of our overall Terms and Conditions.
2. Booking Deposits

A non-refundable deposit is required to secure your event date. The amount will be confirmed in your invoice or booking confirmation.

Deposits cover your consultation, administration, and the exclusive reservation of your event date — meaning no other bookings will be accepted for that time.

48-hour cooling-off period: If you change your mind within 48 hours of paying your deposit, you are entitled to a full refund, provided no formal agreement or performance preparation has begun. After this period, deposits become non-refundable except where Ben On Sax must cancel (see Section 6).
3. Balance Payments

The remaining balance is due no later than 5 days before your event date, unless otherwise agreed in writing.

Failure to make the final payment by this deadline may result in cancellation of your booking, with no refund of the deposit.
4. Client Cancellations (Events)
If you need to cancel your event booking:

More than 60 days before the event: Any payments made beyond the deposit will be refunded in full.

31–59 days before the event: 50% of the total booking fee (excluding the deposit) will be refunded.

30 days or fewer before the event: No refunds will be issued, as it is unlikely the date can be rebooked.
If you wish to postpone your event, your payment can usually be transferred to a new date (within 12 months) subject to availability and agreement.
5. Lesson Cancellations
For one-to-one lessons, rehearsal sessions, or coaching appointments:

24-hour cancellation policy: Cancellations made more than 24 hours before the scheduled lesson can be rescheduled or refunded in full.

Less than 24 hours’ notice will result in the full session fee being charged, as the time slot cannot be reallocated.
6. Cancellations by Ben On Sax
In the rare event that Ben On Sax must cancel due to illness, emergency, or unforeseen circumstances, we will:

Offer a full refund of all payments made (including the deposit), or

Help arrange a suitable replacement performer of comparable quality (subject to your approval).
Ben On Sax shall not be liable for any additional costs or consequential losses arising from such cancellation.
7. Force Majeure (Unforeseeable Events)
Ben On Sax is not responsible for cancellations or delays caused by events beyond our control — such as severe weather, transport strikes, venue closures, or government restrictions. In such cases, every reasonable effort will be made to reschedule your booking or transfer your payment to a new date.
8. Refund Process
All cancellation or refund requests must be made in writing via email to ensure accurate documentation. Approved refunds will be processed within 14 business days of written confirmation.
